Overview of Business Dashboard
The Acxite dashboard provides a bird’s-eye overview of your business activities, and if you enable Receipt Bot, you also get real-time automated bookkeeping. The dashboard highlights key financial metrics, shows trends, and summarises the status of document processing so you can quickly identify tasks requiring action for accurate VAT and Income Tax reporting via MTD.
How to Access the Dashboard
Step 1 – Click Dashboard in the left navigation menu.
Step 2 – If you manage multiple businesses, select the desired business from the business selector at top-left.
Step 3 – Use the date range selector at the top to adjust the period displayed for all widgets.
Key Performance Indicators (KPIs)
At the top of the dashboard, you can view the primary business metrics at a glance:
- Total Revenue
- Total Expenses
- Net Profit
- Overdue Invoices
- Overdue Bills
These KPIs reflect the selected date range and give you an immediate sense of financial position and critical values that need your attention.
Profit & Loss Overview
The Profit & Loss widget shows your monthly profit and loss values for the selected period in a bar chart format:
- Dark blue bars represent months where you recorded a profit.
- Light blue bars represent months where you recorded a loss.
This color coding makes it easy for you to see profitable versus loss-making months at a glance. You can hover over any bar to view the exact profit or loss amount for that month.
Click View Report on the widget to open the detailed Profit & Loss report with a complete breakdown.
The widget helps you quickly spot unusual profit or loss patterns, compare month-to-month performance, and identify any discrepancies that may need your review.
Invoices Due
The Invoices Due panel lists outstanding invoices along with:
- Client name
- Days overdue
- Outstanding amount (highlighted in red for overdue items)
Click an invoice or client name in the list to open invoice details and take follow-up actions. This panel helps you surface collection priorities so you can address receivables quickly.
Expenditure Trend
The Expenditure Trend chart is a multi-line chart that tracks your spending across the top ten suppliers over the last twelve months. Each supplier is represented by a unique colored line (e.g., red, green, orange, purple, teal, etc.), so you can easily distinguish each supplier’s trend from another. Hovering over a line point displays the exact monthly spend for that supplier.
You can use this chart to:
- Identify suppliers where your spending is steadily increasing or decreasing.
- Spot months with unusually low entries that may indicate missing bills.
- Compare multiple suppliers side by side to understand spending distribution.
Data Source: Figures are calculated from the PDF purchase documents you upload and successfully process in Acxite.
Sales Trend
The Sales Trend chart is a multi-line chart that shows your sales activity for the last twelve months. Each customer or sales category is displayed with a different colored line (blue, green, orange, purple, teal, etc.), so you can quickly distinguish performance across multiple revenue sources. When you hover over a data point, you will see the exact sales value for that month and category. Sales records that have been deleted are marked with a dark blue line.
You can use this chart to:
- Track your monthly sales performance and identify patterns.
- Spot sudden drops in sales that may suggest missing or unrecorded sales documents.
- Compare trends across different customers or categories to see where most of your revenue is coming from.
Data Source: Figures are calculated from the PDF sales documents (such as invoices) you uploaded and processed in Acxite.
Bank Transactions Summary by Month
By default, this chart displays your bank transaction activity for the last 12 months, providing a clear view of your cash flow month by month. It combines:
Bar Chart:
– Money In (Dark Blue Bars): Represents the total funds identified as received into your bank accounts each month, based on your uploaded PDF bank statements.
– Money Out (Light Blue Bars): Represents the total funds identified as paid out from your bank accounts each month, based on your uploaded PDF bank statements.
Line Chart:
– Balance (Light Blue Line): Shows the net cash flow for each month, calculated as ‘Money In’ minus ‘Money Out’. A positive balance indicates more money came in than went out during the month, while a negative balance indicates the opposite.
This chart helps you quickly visualise your monthly cash position and identify trends in inflows and outflows.
Receipt Bot Extraction
The Receipt Bot Extraction panel helps you track your documents at different stages. You will see counts for each document category (Purchases, Supplier Statements, Sales, Sales Ledger, Bank Statements, and Other Documents) under four status columns:
– Processing: documents in the queue that Receipt Bot is currently extracting.
– Processed: documents successfully extracted and ready for you to view.
– Approved: documents you or your team have reviewed and marked as approved.
– Archived: documents you’ve hidden or stored to maintain records.
The column headers are displayed as grey tabs in the panel. The numeric counts in the table are shown as blue links.
