Import Transactions from PDF Bank Statements
Manually entering transactions from PDF or scanned bank statements is a time-consuming and error-prone task. This article explains how to use Acxite’s intelligent document processing to convert PDF or scanned bank statements into digital data. This powerful feature, powered by advanced OCR technology from Receipt Bot, reads your statement files and extracts every transaction, preparing them to be recorded in your Acxite bank ledger. Step-by-step Importing of PDF Bank Statements to Acxite
Step 1 – Navigate to the Bank Statements page from the business menu.
Step 2 – Click the Upload button.
Step 3 – An upload pop-up window will appear. From the Select Module Type dropdown, choose Bank Statements.
Step 4 – Drag and drop your statement files into the upload area, or click Browse and drop files here to upload and select them from your computer. Acxite will begin processing the documents immediately.

Review the Extracted Data
After your files are uploaded, Acxite’s data extraction engine will analyse the documents. You can monitor the progress on the Bank Statements page, where the status will show as ‘Processing’.
Step 1 – Once a document’s status changes to ‘Processed’, click the View & edit extracted data button (document symbol) in the ‘Action’ column.
Step 2 – A new pop-up appears showing the extracted transactions in a clear, structured table. Here, you can review the date, description, money out, money in, and balance for each line item to ensure accuracy.

Understanding the Data Extraction
To ensure the highest level of accuracy, our extraction engine performs several validation checks during the extraction process. If the system detects a potential issue, it will flag the document with an alert icon (a chat bubble) in the main grid.
Hovering over this icon will reveal a processing note explaining the issue. Common notes include:
- Missing header info: The system could not find key details such as the bank account number on the statement.
- Missing transactions: The system performs a balance check on every statement. If the opening balance plus all transactions does not equal the closing balance, it suggests that some transactions may be missing or were not read correctly. This helps prevent incomplete data from being entered into your books.
